This document shows how to process certain actions for multiple Member Prospects at the same time. (For more information about using the Member Prospects tool, look for the corresponding links on the “Help Videos & Documents” page under the ‘Help’ menu in Trail Life Connect.)
To access the Member Prospects tool, click the icon on the Dashboard or the link on the left navigation menu under ‘My Troop.’
Currently open Prospect records will be displayed, or you can change the filter in the ‘Current Status’ column for actions that need to be taken under other status categories.
With the view set as desired, click the ‘Bulk prospect actions’ button along the top, right side of the list.
The view will change slightly to display checkboxes to the right of each listed Prospect record. Additionally, the ‘Bulk Prospect Actions’ section will appear at the bottom of the screen.
The available actions which can be performed will be outlined in the following sections.
Send prospect an email
Use this action to send one email to multiple prospects at the same time. You will need to check the box next to each Prospect record within the list to indicate who you wish to send the email message. An example use case scenario would be choosing all open prospects to send them an email regarding an upcoming Open House for your Troop. If all Prospect records displayed on the screen will be included, you can click the header checkbox at the top of the list to select all records in one click. If desired, an existing email template can be used. Otherwise, enter a subject and message body and then click the button to send the email to all prospects who are checked above.
Add internal note
Use this action to add the same note to multiple prospects at the same time. Examples might be a note about a source of interaction for multiple prospects; or a note about when to follow up, etc. Be sure to check the boxes in the list above for the relevant prospects for which the note applies.
Contact later
Use this action to place multiple prospects “On-hold” for a pre-defined period of time. As an example, one or more prospects may have reached out in the Spring, but may not plan to officially join until the Fall. Choosing the option to ‘Contact later’ will move the checked/selected individuals from the list to a status of “On-hold” and remove them from the “New & Open” list. A note can also be added regarding the reason for the pause. The affected prospects will automatically return to the “Open” list on the date specified.
Resume contact now
This action can be used for any prospects whose status is set to “On-hold” (as outlined in the previous section.) For “On-hold” prospects, there may be a cause or reason to reach out and engage them sooner than originally intended. This action can set all selected prospects back to an “Open” status for engagement within your active prospects queue. A note can also be added regarding the reason for resuming contact at this time.
